EventValet (operated by Experizntrak Pvt Ltd, trading as Groupla) is a service used by event organizers and their participants to manage travel and on-ground logistics for an event. By using EventValet, you agree to these terms.

1. What we do

EventValet is a request-and-fulfillment platform: you place a request (for a hotel room, a taxi, flight assistance, or another service) through the participant dashboard, and our team handles the booking offline. We are the principal service provider for every booking on the platform — we are not a marketplace, and we don't connect you directly with third-party vendors.

2. Bookings and pricing

Prices displayed on hotel listings are indicative contracted rates. Final pricing and availability are confirmed by our team with the vendor before a booking moves from "Priced" to "Confirmed". Hotel availability counters are indicative only; vendor capacity supersedes the displayed counter.

3. Entitlements

Each booking is either organizer-funded (paid by the event organizer) or self-funded (paid by the participant). The entitlement is set per participant and per booking by the organizer; you can see your entitlement on any booking detail page.

4. Payments

For self-funded bookings, payment is collected via UPI by default. You will pay to the UPI ID shown on your booking and upload a payment screenshot for verification. Where the organizer has enabled Razorpay for an event, you may pay through the Razorpay gateway as an alternative. Payments are processed by our partners; EventValet does not store card or UPI credentials.

5. Cancellations and refunds

Cancellation eligibility depends on the booking status and your entitlement. Refund timelines depend on the vendor and the payment method, and are typically 3–5 business days from the time the refund is approved by our team.

6. Communications

We use email to send status updates, payment requests, confirmations, and other transactional messages tied to your bookings. Some communications are required as part of the service and you cannot opt out of them while you have active bookings.

7. Limits

EventValet does not guarantee specific vendor outcomes (e.g. a particular room category, flight class, or vehicle type). We will make reasonable efforts to deliver to your preferences, but final selection is subject to vendor availability at time of booking.
